Estonia offers a number of unique and memorable venues for organizing company events, suitable for seminars, team-building activities, and festive gatherings.

Depending on how adventurous you and your guests are, or how out-of-the-box you want the solution to be, the range of possible venues is virtually endless. With the right perspective and enough effort, almost any space can be transformed into a beautiful and memorable event location. For example, we have turned a tennis hall into a very attractive party venue, or an industrial warehouse into an elegant event hall using decorations.

However, no matter how beautiful the location is, you cannot expect people to travel for hours just to attend your marketing event. Therefore, the two main questions when choosing a suitable venue are capacity and the desired distance from a given point. If a “magical” location is a bit further away, it is worth considering transportation options as well, and from there, accessibility and other important logistical details that affect the overall experience.

A properly chosen location and convenient accessibility create a strong first impression.

The choice of an event venue primarily depends on the purpose of the event, the number of participants, and the desired atmosphere. For more formal conferences or gala evenings, hotel conference centers, representative restaurants, or larger event venues are a good fit, as they offer both technical capabilities and professional service.

For summer days and team events with overnight stays, people often prefer nature-oriented resorts, manor complexes, or spa hotels, where seminars, active activities, evening entertainment programs, and accommodation can all be combined in one place.

If the goal is to create a more unique and memorable experience, for example for clients or a marketing event, industrial-style lofts, rooftop terraces, galleries, or other distinctive spaces can work well. These give the event character and help highlight the company’s brand more effectively.

For smaller management events or client dinners, it is worth considering restaurants with private rooms or boutique hotels, where a more personal and exclusive atmosphere can be created.

The most important factor is not always the biggest or most luxurious venue, but rather that the location supports the purpose of the event and creates a smooth and enjoyable experience for guests, as it is the first touchpoint at the very beginning of the event and sets the tone for everything that follows.

What should be researched before choosing a venue?

Have you organized events there before? If the venue is new to you, it is definitely useful to first find out about their previous experience. It is important to understand how responsibilities are divided both before and during the event, how cleaning is handled during and after the event, and what the situation is with neighboring properties. No one wants to disturb the night-time quiet hours, cause complaints, or damage their reputation.

Are the premises private, or does anyone else have access? When booking a public space, it is a legitimate question who else might have access during the event and whether outsiders could potentially enter. It is worth asking what measures are in place to ensure the event remains private and secure.

Is catering provided on site, and what are the catering fees? If you are using an external caterer, consider where they will have space for preparation and how food will be delivered to guests hot and fresh. Also check whether bringing your own caterer involves additional fees from the venue.

Do they offer additional services? Ask whether chairs, tables, tableware, or other necessary items are included in the price or available for rent. Also find out whether staff are available to assist with setup and cleanup.

How many people can the space accommodate, and in what layout? It can be difficult to estimate the actual capacity without tables and chairs, especially if the room is not a standard shape.

What is the electrical capacity? Mark the locations of power outlets in your floor plan. Also check the quality of the electrical system and how many devices can be connected at once. In older buildings, a backup generator may be necessary.

Does the venue meet my technical requirements? Make sure there are suitable places for screens and projectors. Check the Wi-Fi speed and whether it can be upgraded for your event.

Is a special permit required for serving alcohol? Venues usually already have the necessary alcohol license, but it is still worth confirming. In some places, a corkage fee may apply if you wish to bring your own alcohol.

Do I need insurance? If the venue is not experienced in hosting events, they may not have appropriate liability insurance. In that case, the responsibility may fall on you to protect property, guests, and your company against potential issues. Where are the restrooms located, and how many are there? Make sure the facilities can handle your number of guests and that they are easy to find and conveniently located.

Are there any specific rules, regulations, or restrictions you should be aware of? It is often better to know in advance if any of your plans conflict with venue rules (for example, regarding noise restrictions or curfews).

It is also highly recommended to visit the venue in person before the event, especially if it is new or unfamiliar. Seasonal venues, such as beach bars, may change their layout and conditions during the year, so this should also be taken into account to avoid surprises.
